Chapter Obligations • Annual report (year end) to the parent Section: • meeting activity (L31) • financial activity (L50) • current officers • Chapter may be dissolved if there are no reports submitted for 3 consecutive years. • IEEE Bylaws require that a Chapter: • maintain a membership of not fewer than ten members, other than Students, and • to hold not less than two technical meetings per year. • Joint Chapter meetings (where the Chapter is joint with two or more Sections) will be credited to the administrative (parent) Section. • Section will be credited $200 for each Chapter that holds at least two (2) technical meetings per year. Funds are distributed to Section, who then distributes to Chapters

7. Holding Successful Chapter Meetings • Meetings are one of the most visible and valuable ways in which a Chapter serves its members. • The basics of putting together an interesting, well attended meeting generally include: • Selecting a subject and format • Finding a good speaker • Logistics: location and schedule • Planning a social dimension • Publicizing the meeting

8. Successful Meetings Require Planning • Selecting a subject and format • ask the members to submit subject suggestions • subject matter need not be limited to electrical engineering – any related technical field is appropriate, as long as it interests the membership • Format: seminar, tutorial, conference or lecture • will largely depend on your objectives • Finding a good speaker • IEEE Distinguished Lecturers Handbook • Survey recently published papers and contact authors • Consult other Chapters or your Society • Reliability Society distinguished lecturers available • Contact local colleges or universities

9. Successful Meetings Require Planning (page 2) • Logistics: location and schedule • Centrally located, conveniently accessible and with adequate parking facilities. • If possible, hold meetings in the same location each time. • Try to have a regular schedule for meetings • Planning a social dimension • Good idea to try to keep costs low. • A faculty dining room at a college or a company cafeteria • Some hotels and restaurants will provide the meeting space along with the cost of the meal.

Successful Meetings Require Planning (page 3) • Publicize the meeting • Do not limit your publicity to your own membership • Other methods of publicity • Bulletin Boards • Internal mailings (university, company, etc) • Newsletters – Your Section and Society, as well as local colleges, companies and professional associations, • Section Communications • Direct Mail/Electronic Mail – Mailing or e-mailing invitations • Your Section’s SAMIEEE program recipient can supply email lists (for both Section/Chapter). 11. Ideas for Chapter Activities • Following are some "best practices": • Establish an Innovation Committee: Students and emerging technologists. • Mini-symposia across Chapters – cutting edge topics. • Career days/planning booths at college days to publicize IEEE (increase awareness at pre-college level). • Increase industry involvement – help to keep technologists in industry. • Identify "hot" topics and bring in speakers to address those technical needs. • List Chapter meetings on the Section or Chapter’s Web site. • Send meeting announcements via email within corporations, universities, government agencies. • Consider networking lunches or receptions at local restaurants. • Offer free admission to lunch/dinner meetings to members who bring prospective members. • Offer free admission to lunch/dinner meetings to members who bring completed Senior Membership applications. • Have joint meetings among Chapters in related technologies or with related non-IEEE groups such as national societies. • Publicize Chapter meeting to all Section members. • Leverage local industries’ and universities’ support for membership.

14. Chapter Visits • Communication and visibility is very important between chapters and AdCom • Chapters are breeding ground for AdCom members • Chapters are source for technical information, transactions, conferences, etc. • Method to aid in this communication • Every AdCom member evaluate their travel schedules and try to visit an existing chapter when their schedule permits. • RS to pay for one extra night of hotel and dinner costs

15. IEEE SOCIETIES CAN PARTICIPATE IN "NOMINATE A SENIOR MEMBER INITIATIVE": • The Nominate a Senior Member Initiative was designed to encourage all IEEESocieties and Sections to become actively involved in promoting the Senior Member grade. • To qualify for the 2012 Nominate a Senior Member Initiative, completed Senior Member application and reference forms must be submitted no later than 1 November 2012. Nominating Societies who nominate at least five successful new senior members will be awarded US$10 for each Senior Member they nominate who is approved for elevation to Senior Member • RS will flow to chapters any funds received by chapters successfully nominating new Senior members.

16. GoToMeeting and GoToWebinars • RS has shared services with three other groups (ASQ RD, ASQ SD, and ASQ LED) • We can offer to the US Chapters this service • broaden meeting tech presentation attendance.   • Each chapter could notify the other US chapters of their upcoming tech meeting for additional attendance as well as the chapter to have it available for their local people to tie in when they can’t attend • Can present a webinar with up to 500 connections and up to 20 participants.  The account only allows one meeting or webinar at a time.  • Coordinate with Alfred Stevens/ Dennis Hoffman to schedule
