Board Meeting Guidelines • We provide you with the most current updates on all issues and projects • We CHECK OUR FACTS • Please do not use open meeting time to discuss personal issues, you can meet with us after privately • Our decisions are based on what we feel is best for the ENTIRE community • No resident may speak about any other resident during an open meeting, especially in a negative manner • Your Rights and Our Rights
Storm Damage • We had some additional storm damage in wind storm last week • These pine trees fell next to the pool • Brothers came out that day and cleaned up the debris
Storm Damage • We had additional damage from a fallen tree to our mailboxes located near building 13 • The tree also knocked down a directory for our property • Brothers removed the fallen tree that day and Mr.Mailbox came out to provide us with estimate to replace the mailbox
Mailboxes • We are looking into replacing the mailboxes immediately • In order to conform with new mailbox regulations this model has been recommended • We will be looking in to replacing all property mailboxes to ensure uniformity on the property
Maintenance Update • Some of the sub pumps in boiler rooms #1 and #5 have been damaged due to debris ingested over time that has damaged the impellers • We have cleaned up the rooms of the debris and replaced the sump pumps with heavy duty pumps that will last longer and work better • Westford will be doing monthly inspections in all crawl spaces and boiler rooms to ensure that debris does not gather again
Maintenance Update • We received complaints of low heat in some buildings • Santa was called out to address this issue • A representative from Santa reported that they adjusted the thermostat to allow for more heat output Hopefully this issue has been resolved BUT if you experience any issues with heating in the future please called Westford to report the issue immediately!
Landscaping Update • We have asked our landscapers about the debris pile next to the entrance of our property and have received the following response • In regards to the pile where the grass and woodchips are at the top of the driveway, there is no danger whatsoever. • The woodchips are warm and because of the cold weather, it is normal that steam may be seen coming from it (the pile) • Do not worry! Nothing needs to be done about it.
Gas Project Update • As of January 16, boiler rooms #1 and #9 are now up and running on gas • The following information has been provided from records held by Westford: • We did sign a contract for the gas conversion • To date the association paid out $72,305.25 leaving a balance of $29,676.75. • We are not aware of any delay costs • We are now beginning discussions with gas providers to determine the best contract for our gas supply, currently Santa is supplying our gas
Laundry Rooms • We have entered into a laundry service contract with MacGray, who we have had a contract with previously • As part of our contract we will be receiving NEW washers and dryers for the laundry rooms! Equipped with swipe card technology! • The new laundry machines will be delivered and installed on February 28, 2013 • On February 28th the laundry rooms will be shut down for the conversion and will reopened the next day • In addition, swipe cards with 3 dollar credits on them for the machines with be distributed for each resident
Building representatives Anyone interested in being a building representative? We are still looking for residents to volunteer for building rep positions! We have some volunteers BUT we need more! Please let us know if you are interested and spread the word to your neighbors.
Bylaws • All residents should have received a copy of the proposed bylaws in the mail • We will take your questions tonight BUT we will discuss and answer your questions at the special meeting • A special meeting has been scheduled to discuss the proposed bylaws on February 12, 2013 at 7:00 in the meeting room • 60% of shares must be represented in the votes and majority will take the decision
