Managing the Annual Review Process • Review the Status of Annual Review Report on a regular basis to ensure compliance timelines are met. • Coordinate / Collaborate with the appropriate staff for the following activities: • Beginning the Mandated 3-Year Reevaluation first, if it is scheduled in the same school year as the Annual Review. Once the IEP conference has been conducted and the IEP is finalized, the student will not longer appear on either of the SESIS reports. • Ensuring that the Notice of IEP has been created and is finalized before creating the IEP. • Logging outreach attempts and parental responses. • If a Level 1 Vocational Student Assessment is required, ensure that is faxed into SESIS using the generic “Documents Related to IEP” fax coversheet. • Ensuring the draft IEP is complete prior to the meeting with the parent. • Holding the IEP meeting with the parent / guardian. • Ensuring the signed attendance page has been faxed into SESIS • Finalizing the IEP. Process Stage as it relates to Annual Reviews • Creating and finalizing the Notice of IEPwill update the student's Process Stage to Annual Review for: • Initials • Reevaluations • Additional Reevaluations • 3 Year Mandated Reevaluations • However the process MUST be closed as shown by the “No” indicator. Conducting Assessments • Continue necessary collaboration and coordination with colleagues regarding assessments needed for students. • Review the SESIS Homepage report: “Evaluations to be Completed.” • Review the online record for those students needing an assessment that would typically be completed by the Special Education Teacher. • Create and finalize the following assessments in SESIS when needed: • Classroom Observation • Level 1 Vocational – Student • Level 1 Vocational – Parent / Guardian • Level 1 Vocational – Teacher • Functional Behavior Assessment New York City Department of Education | Special Education Student Information System Project
Special Education Teachers - Frequently Asked Questions Q: What do I do if an Annual Review and a Mandated 3-Year Reevaluation are scheduled in the same school year? A: Plan to conduct the Mandated 3-Year Reevaluation in SESIS before the Annual Review is due. Once the IEP conference has been conducted and the IEP has been finalized, the student will no longer appear on both SESIS status reports (Status of Annual Reviews / Status of Mandated 3-Year Reevaluations). Q: What if the parent agreed to an earlier date for the IEP meeting? The Notice won’t allow me to schedule the meeting within 7 days. A:If the parent agreed to a date earlier than 7 days from the date the notice is being created, a manual event needs to be created in the student's event log. The manual event should include the appropriate response from the response type dropdown list and the date and time that the parent agreed to the meeting. Also, always be sure that the event is linked to the appropriate document, in the case of this example, the Notice of IEP meeting Q: Does everyone that uses SESIS enter their own information, for example, measurable annual goals? A:Yes. Because SESIS is an online application that the entire team has access to, each person will log into the system and enter measurable annual goals for students they work with; that includes entering the progress that a student has made towards those goals. Q:Does the Attendance Page replace the Final Notice of Recommendation? A:No. The Final Notice of Recommendation should still be completed in CAP or SEC.
