CIVITAS 2020 promotes a collaborative approach to developing the innovative policies and technologies needed for cleaner and better urban mobility and transport. • As a result of the MG 5.4 call on "Strengthening the knowledge and capacities of local authorities", three projects have been selected for funding: • CIVITAS Prosperity, CIVITAS SUMPs-Up and CIVITAS SUITS. • The EC expects these three projects to form a comprehensive "center of gravity" with a high overall impact.
At CIVITAS Forum in Gdynia INEA organised a joint workshop in order to create the framework on how to approach cities in a coordinated way and offer joint services to them to align the project activities to reduce duplications The Commission highlighted the importance of the three SUMP projects to cooperate closely and integrate their activities.
One joint SUMP initiative – visual identity • Common visual identity for the projects based on CIVITAS branding • Cooperation with the SUMP coordination group/platform • Suggested name (approved by the EC): • THE EU SUMP - INITIATIVE • No individual logo for each of the three projects • Branding of ELTIS relevant deliverables (front page) • Projects websites: one website under CIVITAS branding and linking from Eltis to this external EU SUMP Initiative website.
Joint development of new materials / new topics • all 3 projects identified similar important topics such as new financing opportunities and procurement • Joint training activities • PROSPERITY offered all projects the opportunity to act as trainers in the planned training sessions if their expertise fits to what is needed. • The issue of trainings – since all three projects provide trainings (e.g. cities could apply for the twin project trainings with travel and subsistence paid by the project).
Joint management committee meetings • Arranged at approximately 6 monthly intervals, without incurring additional costs • This meeting in Brussels – the 2nd joint meeting • Telephone conferences • 3rd face-to-face meeting: SUMP Conference – Dubrovnik, March 2017 • Work Package leaders received contacts of their counterparts from Prosperity and they will establish contact – Telco & F2F meetings • WPs leaders of SUMPs-Up will develop a list of similarities and description of specific tasks for each corresponding WP from the other two projects in order to avoid overlapping of activities • 2nd level plans for each 6 monthly period will be developed and tasks aligned
Joint timing overview with milestones and deliverables • Agreement to have an Excel sheet with the schedule of deliverables and milestones for all three projects – developed by CIVITAS Satellite • Joint userassessmentphase • Online survey (SUMPs-Up in charge - all projects to have input and share results) • Interviews (PROSPERITY in charge - all projects to have input and share results) • State of the art review (all projects to have input and share results) • Ethics: Joint strategy • Inspiration from other projects (e.g. ECCENTRIC, SUITS)
Joint coordination with the other CIVITAS projects • Especially on the training content • Involvement of the CIVITAS Demonstration projects ECCENTRIC, DESTINATIONS and PORTIS • Geographical distribution of activities • All projects foresee working with cities where the uptake is low. There is a need to agree on countries/cities. Some projects are working with similar cities and regions • Track city contacts • A city contact tracking file is needed that will be filled in by all three projects in order to avoid double contacting of cities
Cooperation in the identification of innovation for SUMP • Methodology / process as well as content • Sort out options for one joint SUMP Assessment Tool • SUMPs UP in favourofusingtheexisting CH4LLENGE Tool • PROSPERITY and SUITS in favour of developing a more usable tool (based on problems with the CH4LLENGE tools in test use in Slovenia and the objectives of the project) • Joint dissemination activities • Joint SUMP-Initiative newsletter • Joint presentations: e.g. PROSPERITY invites SUITS and SUMPs -Up to present at annual SUMP promotion events in PROSPERITY countries.
11.Memorandum of Understanding • Development of MoU or collaborative agreement between project delineating collaboration, roles, safeguarding IP. • 12. Standing agenda items • Sister projects are welcome to attend or provide reports/presentations at project meetings of sister projects. • 13. Deliverables and milestones • In order to not transgress with contractual arrangements and IP, projects will create their own deliverables as per DoWand in open data formats in negotiation with WP leaders and second level plan, but an extended review period will be used to develop ‘super deliverables’ based on individual project outputs.
