SharePoint 2013 Community Sites The Discussion Board’s Extreme Makeover Marlene Lanphier Senior SharePoint Solutions Designer
What is a Community Site? • Site Template available in SharePoint Server • Not available in SharePoint Foundation • Can be a Site Collection or a subsite • Microsoft recommends site collections • Best for long standing groups • Best if the community exists first • Best with 200-300 members
Permissions • Owners Group • Full control • Moderators Group • Moderate – new permission level • Members Group • Contribute – compare to Team Site Members group having EDIT permissions • Visitors Group • Read-only
Inheriting and Breaking Permissions on subsites Inheriting Unique Parent site a community site All groups created with correct permissions Parent site not a community site All groups created with correct permissions • Parent site a community site • All groups created with correct permissions • Parent site not a community site • Must change Members group from Edit to Contribute • Must create and permission a Moderators group
Types of Communities • Private • Limited participation to specific users • Closed • Everyone can view (Read); must be pre-approved to join (enable access requests to Members group) • Open with explicit membership • Everyone can view (Read); automatically approved to join (enable access requests and auto-approval to Members group (Microsoft suggested type)) • Open • Anyone can participate without joining
The Importance of Moderators • Moderators should be subject matter experts • Ensures that content remains relevant and on topic • Manages discussions • Can summarize multiple answers into one “best” answer • Manages the About page that provides information about the purpose and rules of the site • Reviews and deals with inappropriate content
Managing the site • Community Settings • Established Date • Reporting offensive content • Categories • Only one category can be assigned to a discussion so keep them general • Create a separate library for storing documents used in discussions (create library, break permissions on site assets)
Managing Discussions • You can @Mention someone; use #tags • Mentions and tags will appear in the newsfeed • Best Reply and Answered • Unanswered questions • In this view if poster marks as question • Remains unanswered no matter how many replies until poster or moderator marks as answered • Featured discussions • Discussions marked as featured appear in a special view • What’s Hot • Highlights the highest rated topics
Managing Gamification • Badges • Choose badges that represent positive achievements • Award badges judiciously • Ratings • Can be likes or star ratings • Reputation scores • Can set up to 5 levels
