Materials Receipt and Requests • LEAP, GEE, iLEAP, and LAA 2 materials • Standard print materials delivered March 9–11 • Large print and braille delivered March 17 • Boxes will be clearly marked with program labels • LEAP/GEE – green • iLEAP – yellow • LAA 2 – pink • Fax forms are located on the louisianaschools.net Web site as well as in the District Test Coordinator binder. • Order deadline is March 25 for additional standard print, large-print, and braille materials.

Preidentified Answer Documents • One answer document: iLEAP, LAA 2, GEE grade 10 initial testers (ELA/Math), and GEE grade 11 initial testers (Science/Social Studies). • Two answer documents: All LEAP testers and some GEE retesters. • If students are preidentified for testing, the label box on their answer documents will be preprinted with the following: first and last name, gender, DOB, bar code and number, district and school names and codes, and last four digits of SSN/State ID number. • The fields on all answer documents for LEAP, GEE, iLEAP and LAA 2 are now labeled more consistently. For example, TA Number is field H2 on all answer documents for all testing programs. • iLEAP answer document label box has been relocated to the same position as on answer documents for other programs. Orientation for the document format remains landscape.
Preidentified Answer Documents • Preidentified answer documents still require hand coding for education classification, exceptionalities, and accommodations. • Do not place bar-code labels over the preidentified information. • Do not correct errors in preprinted student information. Test administrators should report errors in preprinted information to the School Test Coordinator (STC), who must report errors to the Student Information System (SIS) coordinator for correction in the SIS database.

The testing program and administration is identified at the bottom of the bar-code label. • Linking labels are no longer used. As long as the hand coding in fields E, F, I, and J matches, all documents for a student will be linked for reporting. • Hand-coded answer documents require bar-code labels.

Straggler Answer Documents • If answer documents are discovered onsite at DRC or within districts after the cutoff date, they will be processed as straggler answer documents. The straggler cutoff dates and the score memo release dates are in your binder. • Straggler answer documents will be held, not scanned or scored, until a later date. • Straggler answer documents will not appear on the used answer document report but may appear on the missing materials report. • For straggler documents, a memo will be released with the student’s score, and the student’s Web history will be updated. • The district will not receive student labels for straggler documents, nor will the score show up online in the CSV file or the assessment summary reports.
Rescores • On May 18, LEAP and GEE scores will be released. • The deadline for submitting rescore requests is June 18. NOTE: To receive rescoring results before summer testing, DRC must receive the rescore request by May 26. There are no exceptions to this deadline. DRC will provide a score memo by June 8. • All requests received after May 26 will be processed within 2–3 weeks. • Summer retesting begins June 25.
Test Coordinator Reminders • DTC Return Envelope • Use as an interoffice envelope to transport materials from school to DTC. DTC to return to STC after each pickup. • DTC to verify that STC has transferred student responses from all large-print, braille, and other accommodated format materials to a scorable answer document. • TA numbers need to be entered March 9–April 9. Log on to leapweb.org. • Use security checklists to track materials. • Tracking should be easier with electronic version. • District Packaging Diagrams • Separate 11 x 17 diagrams for each pickup. • Separate materials by testing program and use the program-specific DRC return labels.
General Reminders • Online enrollments • DRC and LDE both rely on the enrollments. • Cleaning up student test histories using LEAPweb • Be sure to merge incomplete histories a few times a year. • In your binder is a form to make student data corrections, follow the instructions provided with each form. • Administrative error fee • $350 per test • Applies to LEAP English Language Art/Mathematics tests and all contentarea GEE tests for graduating seniors. • Search and score fees • $100 to search and $100 to score documents that are sent back without a label or sent back inside a test booklet.
General Reminders • Labels or materials cannot be taken from one school and given to another. • Keep a record of which student tested on each document by noting student names on your checklists. • If you call DRC with questions about scores or locating a document, we will ask for the security number. • To maintain student security • Do not send e-mails with SSNs or other personal student information; fax the information to DRC.
