Background – our Needs Committees need for internal meetings • Voice communication during meetings • Shared presentation slides • Desktop / application sharing WGs and Chairs need: • Live webinar tool for presentations and Training • Capture and recording is useful as well All CS and members can use webinars

IEEE – E-learning And Elluminate www.ieee-elearning.org IEEE have licensed the Elluminate tool for webinars of all kinds across IEEE; Admin of the tool (and site) allows IEEE to create webinars, offer them to our members in an organized learning site; MGAB volunteers are permitted to use this for internal meetings and webinars; Chapters can use for member meetings!

  4. Elluminate - features Server based webinar tool Runs a java app on client system Shared desktop (apps or ppt slides), audio via VOIP, video, whiteboard, text Can record sessions, play back any time Attendee controls and functions: voting, emoticons, raise hand, enable mic

IEEE – Elluminate basic info • No charge for using IEEE site license • To book, first fill in a general application form online at: www.ieee-elearning.org • Send email to (S.M.Welch@ieee.org) request a specific booking at a given time; • Identify moderators, meeting purpose • You will be given URLs to distribute

Elluminate – Moderator Preparation • Test your PC, Elluminate client and test your specific audio and video devices! • Watch the Elluminate moderator orientation: http://bit.ly/9TWBrP • Log in to your webinar ahead of time! • Verify (with your presenter) audio feeds, screen slide control, microphone control, audience text chat, Q&A, votes

Elluminate – Moderator Tips Use high quality audio mics for speaker Run through the webinar features or take training before first real webinar Log in before your attendees, put an intro slide up in presentation window Control mics, disable all except speaker Have a separate moderator who is not speaker – channel text queries to mod Explain etiquette for attendees – text

Elluminate – User Preparation • Test your PC to see if you can utilize the Elluminate client prior to a live meeting • Run a “replay” of a prior webinar • See most of Elluminate application user interface – not all of it will be active • Replay Elluminate orientation webinar: http://bit.ly/bXXY9W • Or, replay a prior webinar: http://bit.ly/mgVyOC

User Instructions: Running Elluminate Please remember these instructions for running Elluminate client: • must have java runtime installed • go to the webinar URL in your browser • you will be asked to approve a download (Java webstart .jnlp file) • then you must execute this file to run the java Elluminate client application

Elluminate – Next Steps Use Elluminate for your (wg) meetings S2ESC use Elluminate, also with WG (training webinars and meetings) Encourage WG use for internal meetings and external public webinars Build library of re-usable webinars on S2ESC site or IEEE e-learning Insert guidance and Elluminate materials into WG, cttee training

Welcome to Elluminate Meeting While we wait to start the meeting, here are few things you can do to prepare: • Put your real name into your user id, so that everyone will recognize you • Type a hello text message to the moderators to verify that it works • Turn off videocam unless its needed • Check mic and audio

More tips for Elluminate Meeting Some etiquette for a web meeting: • Turn off your mic unless you need it • If you wish to speak, and you do not have the floor click “raise your hand” • If you have operational problems with client or equipment, text to moderator • For comments and questions about the current topic, text to presenter, group
