Objectives • To increase parent involvement • To divide up tasks amongst committees • To make meetings more beneficial and efficient to all members
Meeting Structures • The first 30 minutes of each meeting the committees will meet. This avoids the time needed to meet outside of normal meeting times. Agendas will be set prior to the meeting by the club officers so the committees will have a specific purpose for the meetings. All parents will be encouraged to be on a committee. • After the committees meet, the chairperson of the committee will provide a report to the entire group. The committee will make recommendations only! No committee will have the power to act unless otherwise noted. • The group will discuss, edit, and change each committee proposal if decided, and put the proposals to a vote by the entire group. This will involve everyone in the process and make sure that every voice will be heard. • The committees will be given deadline for their proposals which their duty must be done.
Meeting Structures • In addition to the normal meetings, students from each school will be asked to give a short presentation to the group. Example presentations: LDE team events, current ag issues in the area, basic ag knowledge programs such as gardening or lawn information, etc…. • Student involvement will increase parent attendance at the meetings because parents will come to see their children participate.

Scholarship Committee • Producing a scholarship application • Proposing a judging committee to rank and score the applications • Collecting items for the silent auction which the proceeds go toward scholarships • Printing out and collecting hog raffle tickets
Buyers Committee • Obtaining five new buyers each year prior to the local show and sale • Producing a commitment sheet that outlines the conditions for advertisement at the sale • Following up with current and prospective buyers regularly to ensure their support and attendance at the show and sale • Collecting for poor-boys where collective money will be used to purchase projects at the sale and Denton County
Stock Show Committee • Proposing the show date • Proposing the show location • Securing tables and chairs for dinner • Securing food permits and portable restrooms (if needed) for the day in cooperation with Mr. Killingsworth • Securing an auctioneer • Securing a photographer • Setting the menu for the dinner • Producing a buyer’s book with pictures of all students with projects and providing advertising opportunities to local businesses in the program. • Purchasing the high buyer awards to be given out before the sale • Collecting all funds, thank you notes, and dispersing student thank you lists and checks.
Public Relations Committee • Producing a commitment form for potential new supporters • Writing a current article on student activities to keep all stakeholders informed of events and achievements once a month to the local paper • Producing and sending out a newsletter to all stakeholders
