  1. Radiation Effects CommitteeSummary Report Dan Fleetwood, Chair REC 7 July 2012

  2. NSREC 2012 – Miami, FLInterContinental, Miami: July 16-20 Meetings and Registration Support: ETC Services

  3. 2012 NSREC Status • Mostly on track, with “minor” glitches • Replacement of invited speaker with schedule conflict • Hotel renovation of lobby and restaurant space • Technically in violation of contract, but too late to do much • Working with hotel on accommodations and mitigate inconvenience • Strong corporate and government support, and another “sold out” industrial exhibit • Provides > $200k (~ 33%) of conference budget • Finances on track – no major issues identified • Will repeat GOLD member breakfast • 20 attendees in Las Vegas • Again facilitated by Jonny Pellish, NASA GSFC

  4. 2013 NSREC • Hyatt Embarcadero, San Francisco, July 8-12, Conference Chair, Jeff Black, Sandia National Labs • Planning 50th anniversary themed event, with AdCom support (thank you!) • Committee formed to allocate travel support to past volunteers who otherwise could not attend • Intent is to hold special commemorative event without undue impact on remainder of conference budget • Budget approval issue • Currently approved budget does not include traditional NSREC committee banquet/wrapup dinner • We request budget approval including this event at its historical level (more information to follow) • Special issue of the TNS: June 2013 (collecting submissions)

  5. Summary of Committee Banquet/Wrap Up Dinner 2011 NSREC Courtesy of Kay Chesnut Conference Chair

  6. 2011Wrap Up Details • Occasion viewed as our thanks to all of the folks who make the NSREC a success • RE’s major “thank you” event for the year • Three committee dinners paid during the year • Only dinner for which spouses/companions are included in invitation list • Semi-formal dinner reception held for 97 people at The Stirling Club in Las Vegas, Nevada • Surveyed many restaurants and locations • Could not afford restaurant buy out for Friday evening even in Las Vegas’s low season (preference). These were on the order of 20K or more just for food and beverage. • Food and all beverage (cocktails and wine) was ~$150 per person • 2006 (Ponte Vedra Beach, FL) ~ $137/person (Janet Barth) • 2008 (Tucson, AZ) ~ $154/person (Paul Dodd) • Expectation similar for 2012 in Miami and 2013 in San Francisco, adjusted for locality

  7. Full Event ExpensesShows up as ~ $20k line item • Facility and Food  (bundled)  = $15,143.73 • Gifts (committee) = $ 3431.99 • Invitations = $ 213.13 • Entertainment = $ 950 • Tips = $ 150 • Buses (included as separate item in budget) = $ 1,130

  8. After Dinner …

  9. 2011 NSREC Financial Wrap-Up • CB account closed • All transactions cleared • Loan repaid to IEEE - $ 45,000 • Income sent to NPSS - $ 121,387 • Adjusted return: $ 94,869 • Adjusted percentage (excluding loan): 20.2% • Final report submitted • Audit report received • No remaining issues

  10. To Sum Up • We have held similar wrap-up dinners after NSREC for at least 30 years • Signature thank-you event • The only time that RE spouses/companions share in our thanks • Expenses are controlled to within expected return to IEEE; traditionally a very nice event • We request budget approval to hold a similar event (scaled appropriately for locality) in 2013

  11. 2014 and 2015 NSRECs • 2014—Conference Chair, Robert Ecoffet, CNES • July 14-18 • First NSREC outside North America (a year with no RADECS) • Marriott, Rive Gauche – final contract approved • Initial deposit paid directly by IEEE (thanks to Ron Keyser for support) • Committee almost finalized; budget reviewed in Miami at our RESG meeting • 2015—Conference Chair, Mike Xapsos, NASA GSFC • July 13-17 • Marriott, Copley Place, Boston • Hotel contract signed

  12. RE TC Election Results • Marty Shaneyfelt, Sandia, will move up to Chairman, RESG • Executive Vice-Chair: Allan Johnston, JPL • Secretary: Pascale Gouker, MIT Lincoln Lab
