After the workshop you should be able to: • create a RefWorks account • import references into your RefWorks account by direct import feature • import references indirectly from online databases and catalogues into your RefWorks account • create and manage folders in RefWorks • create bibliography and in-text citations in different citation formats such as APA, MLA, etc.

Academic Writings and Citation Styles • In academic writing, whenever we use someone else’s works, ideas, theory, quotes, methods, data, etc. we must cite the original source • Citation styles are the rules that govern on how we format these citations • There are many different citation styles set up by different academic bodies or publishers. The most commonly used ones include the APA style, MLA style and the Chicago style

  6. What is RefWorks? In short, RefWorks is a web-based bibliographic management software that helps you organize your citations and prepare your reference/bibliography lists: • Create a personal database online • Import citations automatically from Library catalogues, online databases or web pages you find on the Internet • Organize and manage references • Generate in-text citations, bibliography/reference lists in the citation style of your choice, including APA, MLA, Harvard, Chicago style and more • Use it anytime, anywhere, any devices where there is internet access.

  7. First Time User: Create Your RefWorks Account • Library Home Page  Databases RefWorks Icon (http://proxy1.library.ln.edu.hk:2048/login?url=https://www.refworks.com/refworks2/?r=authentication::init&groupcode=RWLingnanUL) • Click Signup for an Individual Account on the Left Panel • Fill in required information – Must use Lingnan Email Address

  9. Adding Data to RefWorks • Direct Export from Library Catalogue,1-Search and Online Databases • Import Filter (Copy–and–Paste) • RefGrab-It Adding Web pages • Create Records Manually

  10. Use the Export to RefWorks button at the full display of a library record: Direct Export -- Library Catalogue

  11. Last Imported Folder • The imported data will be first placed in the last imported folder • This folder only contains the latest imported records • All previously imported records are stored in the databases but not associated with any folders

  13. Direct Export -- LexisNexis (1) At the result list or article display screen in LexisNexis Academic, look for the icon for Direct Export to RefWorks

Direct Export -- LexisNexis (2) Click OK to confirm adding data to Electronic Source Related Fields in reference(s). • If you have already logged in to RefWorks, the results from LexisNexis Academic will be immediately transferred to RefWorks, otherwise, you will be asked to log in. • After import is completed, click the Edit Imported References. • Enter LexisNexis Academicas Database, type http://www.lexisnexis.com/in Links field; then click Save Changes.

  15. Direct Export -- LexisNexis (3) (Global Edit) Global Edit Now click View Last Imported Folder and select Global Editicon.

  16. Direct Export -- LexisNexis (4) (Global Edit) • Select Source Type under Field to Add Data. Then choose All in List , set Source Typeas Electronic and click Add Data.

Direct Export -- LexisNexis (5) (Global Edit) Click OK to confirm adding data to Source Type in reference(s) Type "EDIT ALL" in the box and then click Edit References to confirm that you wish to edit all references. A “Completed” message box will be displayed on the bottom right hand corner of the screen. Finally, you can click the “X” icon to close the Global Edit.

Direct Export – 1-Search • Perform a search in 1-Search • At the Search Results, select which citations to export by clicking the save this item icon • After you have chosen all the items you want to export, click the Saved Items (x) link at the button of screen • A new box will open, click RefWorks • If you have already logged into RefWorks , the selected 1-Search records will be imported to RefWorks immediately; if you haven’t logged in, you will be asked to login first • Then click View Last Imported Folder and select Global Edit • If you are using online full text, then change the “Source Type” to electronic (follow the last steps in the LexisNexis session above); if you need to get the full text from print copy, there is no need to change the “Source Type”

Import by Copy-and-Paste -- Multiple Records from Library Catalogue(1) • Search Library Catalogue by keywords / subject / author / title, etc. • Save multiple records on results list or Mark individual records on single record display • Click Marked List button to view previously saved / marked records • Choose MARC Format and Output to Screen • Click Submit button • Ctrl-A to select all; Ctrl-C to copy to clipboard

Import by Copy-and-Paste -- Multiple Records from Library Catalogue(2) • Now Switch to the RefWorks Session (or open a new window and login to RefWorks) • Select References Import • Select From Text • Select Import Filter/Data Source = MARC Format • Select Database = All MARC Formats • Paste (Ctrl-V) the clipboard contents to the input area below • Click Import

  25. Hands-on Exercise • From Lingnan Library Catalogue • Search for Author “Hill, Anita” • Mark, save and export all found records • Import the records to your RefWorks account

  26. Add Web Pages to RefWorks -- RefGrab-It (1) • RefGrab-It is a plug-in to be installed to your web browser. It helps to gather web page information to RefWorks.   27. Add Web Pages to RefWorks -- RefGrab-It (2) 1. Select RefGrab-It within RefWorks under the Tools pull-down menu. 2. Right click on RefGrab-It to bookmark link. 3. Click on Bookmark This Link.

Add Web Pages to RefWorks -- RefGrab-It (3) e.g. http://en.wikipedia.org/wiki/Education_reform • To cite a particular web page, first open it in the web browser and then click the RefGrab-It link. A separate window will pop up. • Select the reference and click the Import To RefWorks button to transfer the information to RefWorks.

Input Records Manually • At RefWorks Menu  References  Add New • Choose the desired output format in Fields used by (e.g. APA style) • Choose Reference Type (e.g. Web Page, Journal Article, Book Whole, etc.) • Type in the citation information • Move the mouse cursor to the field names to view the meaning of the fields and required input format • Click “Save Reference”

  30. Input Records Manually: Author format • Surname (last name) first, followed by a comma, space and the first name(or first initial follow by a period) • Each author name must be separated by a semi-colon. • E.g. Clinton, Bill; Smith, John D.

Organize References with Folders • The View option is located at the menu bar below the RefWorks Logo • Select New Folder icon to create a new folder (subfolder) • Enter folder name and click Create • Select the records you want and use the (Add to folder option) to store the selected records in the desired folder • Each record can be put in as many folder as you like • Online Tutorial: http://www.youtube.com/watch?v=ZsNjOnKZzCQ&list=SP71114E7B2527DEE7&index=5

  34. Create a Folder (3) A folder name will be shown to notate which folder each reference is located in.

Create a Bibliography (1) • Click the Create Bibliography icon • Select desired style from the Output Style drop-down menu • Under the Format a Bibliography from a List of References, select desired format from the File Type drop-down menu • Click the radio button of Specify Folder (optional) and select the desired folder from the drop-down menu • Click Create Bibliography

  39. Create a Bibliography (5) 4 Select Folder and Create Bibliography Select folder name in “References to include”. Then, click the Create Bibliography button.

  41. Create a Bibliography (7) 6 View Bibliography NOTE: If the bibliography does not pop up in a new window, read the instructions. Look for the message box displayed on the bottom right hand corner and click the link called click here.

  42. Create In-Text Citations -- Write-N-Cite • Write-N-Cite is a tool that allows you to run Refworks in your MS Word. With this tool you can generate in-text citations and bibliographies in MS Word documents. You need to download and install the tool on your computer in order to use it. • To download Write-N-Cite: • Login to Refworks • Select Write-N-Cite from the Tools menu in RefWorks • Click the Download now button for the version of Write-N-Cite you wish to install • Save the .exe file to your computer • Optional: Before leaving the download page please copy your Login Code onto your clipboard, using the instructions on the left hand side of the page. This will enable you to easily log in to Write-N-Cite without needing your RefWorks credentials or on campus access For detailed instructions, please refer to RefWorks 2.0 Guide
