PREPARATION BEGINS WITH THE READER, NOT THE WRITER • Does it take into consideration the TWO-WAY COMMUNICATION in reports? • Author has spent time and critical thought deciding on how the report affects the reader
Reader’s Viewpoint • Homogeneity of group? • Why do the people want the report? • What do they expect in the report? • What result do they want? • What result do you want? • Are they the same? • What do you want them to do immediately? • In time? • Is accountability built in?
Check the reader’s viewpoint • What kind of people are they? Gender? Age? Background? Section of the business? • How well do you know them? • What is their experience and level of knowledge with the material? • Have you prepared in advance for their likely response and attitude? • How will any changes affect them?
WRITING -- END GOAL • Achieve a specific result based on your purpose • Establish a comfort level for you and your reader.
