What is SPS? • SharePoint is a Document Management system • Create documents • Create revisions • Setup review cycles • Publish documents to searchable portals • Many of the features of SPS will form basis for the file system of the future • SPS is an application built on top of Windows Sharepoint Services • WSS is shipped with WIN2K3 • SPS appeals to the smaller org and with its integration to Office and Windows has a big future
Overall Problems Addressed • Same basic problems address as all inputs (Exchange for Example) • Manage the growth of SPS server storage • Move older items ‘out of SQL Store’ • Recover SPS faster • Allow consolidation of SPS servers • Enable usage of most appropriate storage • Meet regulation demands
Data Storage Profile • Typical file or messaging server • Only 20% active data • New/Current data • 80% of Data is Inactive • Old messages, presentations, financial reports etc. • Every full backup must backup this 80% inactive data! • Excessive media usage. • Unnecessarily long restore times. • SPS stores versions of each document so its holding a higher proportion of ‘historic’ information that many information systems 20% 80%
File Server File Server SharePoint Exchange Enterprise Vault for SPS: Deployment & Management • EV can archive SPS V1, BCDL, SPS 2003 as well as WSS • Enterprise Vault for SharePoint Portal Server and can co-exist with all other EV inputs • One vault server can service several SPS servers • Integrated archiving, management and exploitation • Manage and configured using central EV MMC console
User Interaction • Seamless Environment for the end user • Users see little or no difference after archiving • Integrated search of Enterprise Vault and SPS
Searching • Create a unified search across all archived content • SPS archives are AltaVista indexed and searched from a Vault sub-dashboard • Exchange archives are AltaVista indexed and searched from a Vault sub-dashboard • SPS archives can be searched from Exchange Vault search applications
Archiving Version History • Archiving is a scheduled process • Archived Version ‘pruned’ (EG leave only 2 version in SPS) • Archived documents can be searched and retrieved from a “search archives” sub-dashboard of the standard search dashboard

Competition • The customer has already decided to purchase SPS (or use WSS) – we are complimentary not competition • No one in Gartner MQ has a similar offering • IXOS had a ‘tool kit’ sometime ago but no product • Unlikely that an SPS archiving only vendor will take off
Technical Considerations • EV 6.0 only archives content from document stores • EV 6.0 only archives the version history • Published documents will not be archived (unless they are a version) • EV 6.0 No shortcuts in SPS 2003. All access is via web part • SPS 1 and BCDL support won’t be around for ever and CANNOT effectively be uses as a migration tool • CA & DA will NOT work on a server that has WSS running
