Email Press Release Tips • Include the release in the body of the email • Reporters don't like to open attachments • Place photos, service journalism, etc., in your online newsroom and provide links in your email • Write a compelling subject line that tells the reporter what the release is about • The first line of the e-mail message should read: FOR IMMEDIATE RELEASE in all caps • Allow one spacer line then write a ten word or less headline • Do not write the headline in all capital letters
Email Press Release Tips • Allow another empty line for spacing, then begin the text of the release with a dateline • Keep the release to 400 words or less • About five paragraphs of two to three sentences each • Include press contact information below the text of the news release • Don’t waste the space at the top of an email for contact info • Include a phone number as well as an email • If reporters are in a hurry they won’t want to wait for an email • Close the document with the characters -30- or ### • Include a boilerplate
