  2. Fall PEIMS Lesson 1: PEIMS Timelines, Responsibilities and Processes Lesson 2: PEIMS Data Overview Lesson 3: Record Type Layouts Lesson 4: Resources

  3. Lesson 1: PEIMS Timelines, Responsibilities and Processes In this lesson, participants will learn about the timelines that drive PEIMS, responsibilities of the campus and district PEIMS staffs, and the processes associated with submitting data to the Texas Education Agency.

  4. Fall PEIMS Timelines • The FALL PEIMS Snapshot date is the last Friday in October. Local Education Agencies (LEAs) report all students served and staff employed on that date. 1st PEIMS submission of the year encompasses student and staff information on the snapshot date.

  5. Summer PEIMS Timelines 3rd PEIMS submission of the year includes attendance data, discipline data, classroom link data. This is due to TEA during the summer months but is the data for the entire school year.

  6. Extended Year PEIMS Timelines The 4th submission of the year includes summer school data and is due to TEA at the beginning of next school year.

  7. Campus Responsibilities – PEIMS Coordinator / PEIMS SIR or PEIMS Data Clerk • Work collaboratively with other campus personnel • Run edits, reports, and verification checks on Chancery data • Keep principal informed • Receive PEIMS related information and disseminate to appropriate staff • Verify all campus data & submit corrections to SIR/Chancery Clerk • Review online training offered by the Federal & State Compliance Dept. • Provide training and support to appropriate campus personnel • Compile, maintain, and file all physical data in appropriate folders, computerized reports, records, and other documents required These 2 positions work together to coordinate all activities relating to PEIMS

Campus Responsibilities – SIR and/or Chancery Clerk(s) • Enter data as directed by campus administrators • Run edits, reports, and verification checks on Chancery data • Keep principal & PEIMS Coordinator informed • Print edits and reports from Chancery and Edit+ • Deliver edits and reports to Campus PEIMS Coordinator • Review the online training offered by the Federal & State Compliance Dept. • Assist in dissemination of PEIMS related information • Compile and maintain all physical and digital reports, records, and other documents as directed by the principal or PEIMS Coordinator

  14. I. Organization Data • The following information is rolled over by the Chancery SMS and does not require campus involvement:

  15. II. District Finance Data • The following information involves the finance department and does not include campus involvement for the PEIMS submission:

  16. III. Staff Data – PeopleSoft • These records are rolled over from the People Soft data. Campus involvement is limited.

  28. 110 – Enrollment: PK Information A student in a three-year-old Prekindergarten program should be shown with a GRADE-LEVEL-CODE of PK. Migrant three-and-four-year-olds served in a campus-based program funded wholly or in part by Title I, Part C (Migrant) funds should also be coded PK.

  32. 110 – Enrollment: At-Risk Indicator Code At-Risk Indicators Requiring Campus Input: Currently on parole, probation, deferred prosecution, or other conditional release In the custody or care of the Department of Protective and Regulatory services or has during the current school year, been referred to the department by a school official, officer of the juvenile court, or law enforcement official Is homeless, as defined NCLB, Title X, Part C, Section 725(2), the term “homeless children and youths”, and its subsequent amendments
