Karma ChameleonBusiness Improvement ProjectIdentifying a More Streamlined Process for Admissions (PGR) Matt Dunlop – Estate Support Service Louise Hurst – Newcastle University Business School Michelle Latham – Institute of Genetic Medicine Ruth Vater – School of Civil Engineering & Geosciences
The Project Why? PGR applicants exposed to smooth and efficient service Schools attract and win best candidates Avoid excellent students going elsewhere Better understanding of requirements in each area Create better service for all Wider benefits: Increased REFability Increased research income Larger pool of future academics
The Project : The Journey Drew up Current State Map and discussed with Admissions Officers in each Faculty Realisation of intricacies of process Decision - focus on one or two key areas But which ones? Needed measurables so: Approached key stakeholders for data Their perception was very different to that of Selectors and they had the statistics to back this up
The Project : The Journey continued METHOD No Show data provided by MD and AMcN Adapted questions to make suitable for current PGR students and Selectors, so we would have a comparable set of data Surveyed current PGR students and Selectors via Survey Monkey questionnaire One School per Faculty - representative Sample sizes relatively small – good response Analysed data and open comments Interesting results!
Questionnaire Results Q1: Main reasons for applying to / coming to Newcastle
Questionnaire Results Q2: Main barriers to applying to / coming to Newcastle
Questionnaire Results Q3: Did you receive all the information you felt you needed to take up your place?
Questionnaire Results Q4: Most helpful information sources
I could find all of the info re. the course from the University website, but it was difficult to find info on the School website ...letter confusing – implies you have a funded place when you don’t… …supervision team [were] a bit hazy on the admin …considerable problems between the PGR secretary and King's Gate So what can we do? The support given by the PhD programme director and his team was really helpful Is there is a manual for using the portal system? The system might be able to offer so much more such as reviewing the status of applications? Challenge perceptions Educate -guidance documentation and training Clarify -funding on offer letters; registration Simplify -tracking of applications Update -focus efforts on key sources
IMPROVE COMMUNICATION! So what can we do? Questions?
