Welcome Library Volunteers To the Hubbard School Library
Library Procedures • Upon arrival, please stop in the office to sign-in and pick up your Visitor’s sticker. • Preparing for student arrival: • Please begin by checking with Mrs. Pandise to see if there are any materials needed for the library lesson. • For Readiness, Pre-K and Kindergarten, please select books from the Pre-Selection Bookshelf and place them on the Selection Table. • During the first month of school, 1st grade volunteers will also select books from the Pre-Selection Bookshelf and place them on the Selection Table. • Please go to the HOLD Cart and check your grade and locate any books that are on hold for your class. Remove the books and give them to Mrs. Pandise with the report.
Checking Books In As soon as the students arrive and place their books in the book drop, please Check In books using the scanner by the Circulation Desk. Hubbard School Bar Codes can be found on the back cover or on the inside back cover. While checking in each title, check the monitor screen to be sure it is checked in correctly. Occasionally the scanner does not pick up the Hubbard School Bar Code and it does not scan in properly.
Check-in Continued. . . If this notification appears, please take a post-it note and write the student’s name on it and place it on the book and put the book on the hold cart on the bottom shelf. While checking in, you may see the following:
After all books have been checked in, please place them on the cart next to the circulation desk. • If any books have been placed by the RENEW BOOKS HERE sign, please renew the books by going to the RENEW tab below the CHECK IN tab and scan the barcode. Keep renewed books by the circulation desk for the students to pick up. • At this time, please print our the report for your class. • Kindergarten, Readiness and First Grade receive individual notices. Please print these out and cut them in half. Please give them to Mrs. Pandise for distribution. • 2nd and 3rd Grade classes receive a full-class report. Please print this report out and give it to Mrs. Pandise.
Filing Library Materials It is asked that Library Volunteers shelve the books that have been returned by your class and any books on the cart. Pre-K, Kindergarten and Readiness, please return the books back to the Pre-Selection Bookshelf. These books DO NOT have to be put into alphabetical or Dewey order. First, Second and Third grade books need to be returned to the stacks for circulation.
Please note, the spine label will give you all of the information you need to shelve a book. • Dewey Decimal Numbers: • Non-Fiction shelves are located on left side of the library • Numerical order and then alphabetically by first letter of author’s last name • For Example the 636 books would be filed this way: • 636 636.1 636.15 636.5 636.54 636.541 • A – Z A – Z A – Z A – Z A – Z A - Z • Hint: All the books with the same Dewey number will be on the same subject • (i.e. Dogs, Cats, Horses, etc.). • B • Biography shelves on the left side of the non-fiction shelves. • Alphabetical order by last name of the person the biography is about ex. B Lincoln
E • Picture Book shelves are the three shelves near the windows. • Books are filed Alphabetically by first three letters of author’s last name (E AND) for a book by William Anderson. • Keep books with the same author together and then alphabetically by title. • E with the Purple Label • Easy chapter books/Beginner readers on the far left of Picture Books . • Alphabetical order by first three letter’s of the author’s last name • Keep books with the same author together and the same series together • i.e. Henry and Mudge, Poppleton etc. • F • Fiction books are located on the wall across from the tables • Books are filed alphabetically by the author’s last name. • Books in a numbered series should be put back in the correct number order.
F with a green dot “I” • Illustrated Fiction shelves are located on the left side of the library opposite the library office before the non-fiction section. • File alphabetically by author’s last name. • Videos & DVD’s • Shelves are on the right side of the library opposite the library office. • Titles are filed in the following order: • E (A-Z) by the TITLE of the video/dvd • F (A-Z) by the TITLE of the video/dvd • Dewey Decimal numbers • B (A-Z) by the SUBJECT of the video/dvd
Checking Out Materials When students have finished selecting their materials, they will approach the Circulation Desk with their Shelf Marker and books. Please scan the student’s barcode from the Shelf Marker and keep the Shelf Marker at the Circulation Desk. Double check that the correct student’s name is on the screen. 2nd and 3rd grade students are permitted to check out magazines. Please take a MAGAZINE folder from under the Circulation Desk, open the cover and scan the temporary barcode (see next slide).
Magazines SCAN BARCODE ON INSIDE OF FOLDER The following computer message will appear Copy "T2" is not cataloged. Do you want to check it out? Click on YES. Type the Name and Date of the Magazine in the Title Field. Place magazine in the folder.
Additional Responsibilities When not directly involved with checking in/out and shelving materials, please refer to the SHELF CHECKING SCHEDULE. During your scheduled time, please carefully check the section assigned to your class and correct any mis-shelvings. A mis-shelved book is a lost book .
