Procedure at Meetings • Roberts Rules of Order • All meetings of the SGA shall be conducted in accordance with the latest available edition of Robert’s Rules of Order • The Executive Board shall conduct a seminar at the beginning of each academic year to familiarize the SGA with its procedure and order at meetings

Procedure at Meetings • Voting Rights • The SGA shall vote on all matters of concern • The voting body of the SGA shall consist of the Executive Board, Class Officers, and Club Representatives • The Executive President shall not vote in any matters of the SGA, except in the event of a tie, at which point the Executive President shall cast the deciding vote

  4. Procedure at Meetings • Voting Rights • Barring extreme circumstances, all proposals and business to be voted upon by the SGA shall be made available to the voting body for discussion at least one week before any vote occurs • The SGA should, whenever possible, have the opportunity to discuss all business in a General Assembly or Forum meeting prior to the General Assembly meeting at which the vote will occur.

  5. Attendance • Executive Officers • Expected to attend all meetings of the SGA • Barring extreme circumstances, will not be granted any absences from meetings of the SGA • Are Permitted to miss one (1) meeting or be tardy to two (2) meetings before a decision for impeachment is made

Attendance • Class Officers • Expected to attend all General Assembly meetings, Forums, Seminars, and special meetings • Shall be granted up to three (3) absences over the course of an academic year, subject to the discretion of the Executive Board • Must direct excuses towards Executive Secretary • May not erase absences

Attendance • Club Representatives • Expected to attend all General Assembly meetings, Forums, Seminars, and special meetings • It is the responsibility of the club to find an alternative in a representative cannot attend • Shall not be granted excuses • Upon the third (3) absence of a rep, the budget of the organization shall be diminished

  8. Executive Board • Shall comprise of: • President • Vice President • Secretary • Treasurer • Parliamentarian • Media Board General Manager

  9. Executive Board Duties • President • Call and preside at all meetings • Lead and represent the student body in all matters of concern • Act as chief spokesperson for the SGA in dealing with college faculty, staff, and administration • Oversee the general operation of all elements within SGA • Serve on the Institutional Planning Committee • Appoint all members of committees whose membership is not determined by the Bylaws • Swear in new officers • Serve as chairperson of the Project Research Committee • Serve in all other capacities as needed

Executive Board Duties • Vice President • Fulfill duties of the SGA President in his/her absence, resignation or leaving of office • Act as an ex-officio member and supervisor to all SGA standing committees • Create and facilitate special committees • Act as liaison between SGA and the organizations it sponsors • Oversee SGA fundraising activities • Oversee all campus-wide Blood Drives

Executive Board Duties • Secretary • Record the minutes and the attendance of SGA meetings and events • Maintain any records of the SGA • Collect and compile monthly written reports and community service forms from the SGA organizations • Compile formal biweekly reports of the activities of the SGA • Serve as Office Manager for the SGA • Act as Chairperson of the SGA Public Relations Committee

Executive Board Duties • Treasurer • Draft the yearly budget • Supervise SGA work study positions • Monitor the financial operations and standing of all organizations and agencies sponsored by the SGA • Receive and review monthly financial report, provided by the Thiel College Business Office • Compile and Maintain updated and accurate records of all financial matters • Report and identify to the Executive Board any person(s) misappropriating funds, concealing evidence with the intent to defraud, or delinquent in any financial obligation or contract • Serve as Chairperson of the Ways & Means Committee

  13. Executive Board Duties • Parliamentarian • Coordinate, facilitate, and oversee all SGA elections • Know, understand, and interpret the Constitution & Bylaws of the SGA • Ensure that parliamentary procedure is upheld at SGA meetings • Facilitate any revisions of the Constitution & Bylaws • Act as Chairperson of the Rules Committee

Executive Board Duties • Media Board General Manager • Facilitate the cooperation of the various on-campus media through meetings • Act as liaison between SGA and the Media Board • Ensure that the Media Board receives complete and accurate information of SGA activities and events • Coordinate media coverage of any campus activities and events • Represent the various on-campus media at all SGA meetings and events

Class Standing Projects • Senior Class Officers • Co-coordinate a campus-wide community service project in the Fall of each academic year • Shall serve on the Senior Class Gift Committee in the Spring of each academic year • Junior Class Officers • Coordinate a campus activities fair in the Spring of each academic year • Shall coordinate a SGA recognition event in the spring of each academic year

  16. Class Standing Projects • Sophomore Class Officers • Attend at least one (1) developmental conference trip in the fall of each academic year • Compile information for and design next year’s SGA publication in the spring of each academic year • Freshman Class Officers • Attend at least one (1) developmental conference trip in the spring of each academic year • Co-coordinate a campus-wide community service event in the fall of each academic year

  17. Class Officer Duties • President • Preside at meetings of his/her class • Represent his/her class in all matters of concern • Serve on the SGA Project Research committee • Vice President • Assume responsibilities of the President should he/she leave office for any reason • Serve on the SGA Rules Committee

  18. Class Officer Duties • Secretary • Record minutes and attendance at any official class meetings • Serve on the SGA Public Relations Committee • Treasurer • Authorize the expenditure of class moneys under the supervision of the Executive Treasurer • Serve on the SGA Ways & Means Committee
