Don’t Forget to Look Both Ways First • Don’t just go straight to: • Try a couple of keywords first • Don’t just enter the Full Title or the First Word • Sometimes Faculty have the Organization name slightly off • Ex: (Faculty Lists) – Utah State Obstetrics and Gynecology Society • Ex: (True Name) – Utah Obstetrical and Gynecological Society • Don’t mix up “of” & “for” • Ex: (Faculty Lists) – Society of Reproductive Endocrinology and Infertility • Ex: (True Name) – Society for Reproductive Endocrinology and Infertility • Not in List Now Located in: • Board Certifications • Professional Organization Memberships • Service: Internal & External • Publications • Licenses & Certificates • Funding EASIER FOR YOU TO LET US KNOW OF UNLISTED ORGANIZATIONS

  3. Don’t Ignore The Signs • Use the Keyword Search Feature: • To find the correct category for entry • Ex: Health Resources and Services Administration (HRSA) Physician Assistant Training in Primary Care Grant Reviewer • Not meant for finding faculty or specific entries • Suggestions?

Don’t Be Afraid to Ask for Directions • STOP! –It is okay to honk your own horn and ask the faculty for directions and clarification. • Don’t always rely on what is given • Give yourself permission to ask questions • It is a partnership, work together • Signaling and Defensive Driving • Don’t be a backseat driver, it is okay to take the wheel and give the faculty some directions.

  5. Don’t Forget to Merge Lanes • Don’t forget to merge • Merge two or more grants or contracts • Select one that will represent all of them • Make updates to the represented grant or contract as needed

  6. Don’t Hit and Run! When you hit the download from PubMed or take a hit from OSP don’t leave the scene! • Get rid of “imposters” • PubMed doesn’t have a specific identifier so the search is only based on name • Road kill or other debris might get in your way • Merge renewals in funding to cut down on debris • Look for downloaded projects/publications that are duplicates of manual entries

  7. Don’t Ignore the Speed Limit • For clinical faculty some entries and changes will not display immediately • This allows the Medical Staff Office time to verify the information that is used for credentialing and the CV system • Areas affected: • Board Certifications • Education History • Licenses & Certificates • Specialties (don’t show on CV, only in Find-A-Doc)

  8. Don’t Forget to Check Your Mirrors • Beware of abbreviations • Outside of your discipline they may not be known • Ex: “AANS/CNS” • Ex: “LMA” • Help us make sure the entities are correct and complete • Ex: …, San Diego • Ex: UNA, Salt Lake City, Utah • Confirm with the faculty and/or check the internet

  9. Don’t Get Distracted or Frustrated • Don’t apply makeup while driving • Be careful with cell phone usage while driving • Get familiar with the roads • Give yourself enough time to learn the system

  10. Don’t Get System Whiplash • Be Prepared for RPT Reviews and CV Needs • Do periodic updates to minimize crises (and injury) • Remember system nuances • Information is available for other purposes • Help prevent MBM Office Whiplash • Allow realistic time for CV “Early Entry”
