Outline • Review of ReCAP operations • Physical plant • Systems • Data • What there is to look at • Basic analysis: accession, requests and circulation • ILL/EDD • System-wide trends ReCAP Columbia University
ReCAP: Physical Plant • 9.7 million books • CUL 4.0, NYPL 3.5, PUL 2.2 • 5 Modules complete • 2 planned for construction: Module 8 & 9 have broken ground, expected to open June 2013 • CUL manages transfers with quotas • Tours conducted once or twice each year ReCAP Columbia University
ReCAP Systems • CUL and ReCAP computer systems do not dynamically interact • CUL systems are designed to keep in sync with ReCAP systems • Patrons place requests via CLIO; different levels of request permissions are in place for staff in order to manage special collection • On such a large scale and in context of complex systems problems may ensue… ReCAP Columbia University
Sciences at ReCAP • The Science Libraries have primarily general collections at ReCAP • Circulating and non-circulating collections • Items in poor physical condition do not circulate • Lots of information and instructions can be found on the Sciences/ReCAP website ReCAP Columbia University
Data Available • Four basic categories of data • Accessions • Requests • Delivery • Circulation • Detailed information can be found at the ReCAP Data Center website • Website now includes introductory presentations for all basic categories AND analysis ReCAP Columbia University
Accessions / Requests by CLIO Location • TOTAL : 456,887 / 46,184 (Request Rate 1.45%) • off,bio: 55,185 / 6,683 (1.78%) • off,che: 48,656 / 3,447 (1.31%) • off,eng: 170,304/ 16,096 (1.14%) • off,glg: 40,730/ 2,617 (0.99%) • off,gsc: 8,173/ 239(0.87%) • off,mat : 1,314 / 55(1.06%) • off,phy : 45,638 / 3,799 (1.20%) • off,psy : 28,725 / 5,111(3.28%) • off,sci: 58,162 / 8,137 (2.21%) ReCAP Columbia University
Accessions • View of Science Libraries accessions by fiscal year • Major load in phase during first three years • Project transfers FY08-FY10 to prepare for Science Library consolidation ReCAP Columbia University

Request • Requests begin immediately after transfer • Monthly request volumes in phase with academic calendar • Data for lower-use collections is noisy ReCAP Columbia University

System-wide Data • Plateau of request volume in past four years • “ReCAP Year” divided into trimesters • Volume lowest in summer, but only by a third • Request volume by hour of day • Busiest period roughly 9am-5pm ReCAP Columbia University

Request Rate • Request rate is a measure of collection usage • It is the percentage of ReCAP collections requested during a twelve-month period • Provides staff one way to gauge overall use of offsite collections • Request rate is one factor used to structure ReCAP facility staffing model • Patron access to offsite collections is excellent: dynamic with few failures • Measured two ways: • Annual • Lifespan ReCAP Columbia University
