1. School Workforce Census Feedback from Spring and Requirements for Autumn 2010
2. Evaluation 100% Lambeth schools made a valid LA approved return
71% of these returns passed all the DCSF data credibility checks
Nationally, 100 / 152 LAs made a complete return
20,000 returns approved = 93% of all schools in England and Wales

3. Credibility checks No missing data on key items e.g family name, dob, ethnicity
No more than 10% missing data on disability, pay scale
No errors on COLLECT
No duplicate staff
At least 80% teachers had QTS
Less than 25% ethnicities are recorded NOBT
Every school has some absence data recorded
Every staff member has a contract or service agreement
4. What went well? Information collected for all staff in schools.
MIS systems delivered as expected.
Contract and payroll information collection was very good.
Comparatively small number of errors on COLLECT
Data quality was generally very good.
5. Where were there issues? Ethnicities – blanks and NOBT
Temporary NI numbers
Missing teacher numbers
Missing absence records
Some instances of incorrect pay scale data
COLLECT – SWC access postponed
6. Reminders School Workforce Census will be an annual data collection to be scheduled for every Autumn term, starting this year.
SWC has now replaced 618G and the staffing elements of School Census. In Spring 2011, these will no longer be required.
All new staff who join your school made aware of privacy notice.
7. Requirements for Autumn 2010 Collection Period
Census Reference Date: 4th November 2010
Collection period starts: 4th November 2010
Upload deadline: 19th November 2010
8. Who is in scope? Staff in regular service with current contract or service agreement on the 4th November 2010.
Staff who are no longer employed by the school but who were in regular service during the previous academic year – 1 September 2009 to 31 August 2010.
Regular service defined as those staff with contracts or service agreements of one month (28 days) or more.
9. What will be collected?
10. Changes NI numbers: please make every effort to provide but prefer to be left blank if you don’t have one.
Temporary teacher numbers should not be submitted.
Post and role of executive headteacher introduced.
Staff “acting up” in schools – preference is for information on the acting up position.
Absent on census day is no longer required.
11. In summary…. Regularly update SIMS Personnel – “It wasn’t raining when Noah built the Ark”
- When a member of staff leaves, end his / her contract
- When a member of staff starts, enter them on the system
- Update absences regularly
12. In summary…. Enter qualifications in for all your teachers
Update your pay definitions when released.
Validate. Check for errors and missing data, in particular, ethnicities and contracts.
13. Finally, on census day… Run the SWC return and validate
Enter the school level data
Upload onto COLLECT
Print off SWC Summary report for sign off
