Microsoft Campus Agreement • In process on renewal: agreement expires 6/30/2013 • Major topics of discussion with MS: • Virtualization rights for students and staff • Perpetual rights for student/personal use of Windows OS • Mobile devices, including Office for iPad • SkyDrive and cloud storage • Simplification of contract process, potentially new reseller options • What other pain points do you see?

  4. New Microsoft Products • Last month, KMS servers were updated to activate Windows 8 and Windows Server 2012 • Win 8 & Server 2012 available through Self Service • SCEP (Forefront) for Mac and Linux in testing • SCCM 2012 SP1 in development

  5. KMS Server Updates • The central OCIO KMS Servers will now activate the following products: • Windows Vista • Windows 7 • Windows 8 • Windows Server 2008 • Windows Server 2012 • Microsoft Office 2010 • http://8help.osu.edu/3636.html

Windows 8 • Windows 8 is now available for all OSU-Owned machines on campus • SLSC’s may download the image from OCIO Self-Service • Upgrade only (you must have a qualifying OS install) • Windows Server 2012 is now available for all OSU-Owned machines on campus • SLSC’s may download the image from OCIO Self-Service

System Center Endpoint Protection for Mac/Linux • Software has become available • Requires Intel chipset on Mac • Installations in testing • Currently managed through WSUS • Will be managed through SCCM 2012 in SP1 • Expected availability: • Early next week, pending final testing by OCIO teams

SCCM 2012 SP1 Info • SCCM 2012 SP1 will have the ability to manage Macs, specifically: • Hardware inventory on Macintosh • Compliance settings on Macintosh • Application management on Macintosh • Apple Disk Image (.DMG) • Meta Package File (.MPKG) • Mac OS X Installer Package (.PKG) • Mac OS X Application (.APP) • Software updates on Macintosh • See: http://technet.microsoft.com/en-us/library/jj591553.aspx for detailed information on these features

SAS Renewal • Expect a small price increase ($2-3/copy on workstations; servers remain the same) • SAS Business Intelligence • Some departments are interested in this software • SAS BI includes SAS Office Analytics • Student use of SAS now available • Free for students on personal machines • Grad students may also request this, if using on personally-owned machines (not free for OSU-owned grads) • Codes expected late October

  10. Other Upcoming Renewals • Autodesk/3Dsm • Renewal of $91 is due each August for continued use. Pricing remains the same • 218 installations new or renewed last year • MATLAB • Codes expire on October 1, if they have not been renewed! • Codes now available at IT Service Desk • Codes did not change: reactivation for non-network licenses is as easy as re-running the activation process. • Network codes still need to be generated by OCIO • JMP • In process on renewal, likely to add Genomics to site-wide license (use in Children’s Hospital)

Help, I’m being audited! • Compliance assurance begins at home! • Review the OCIO Software Life-Cycle Management Guidelines at: http://ocio.osu.edu/assets/Software/life-cycle-mgmt-guide.pdf • Manage software actively, not passively. Do spot checks on your own products to verify records • Use license servers where possible, and don’t extend rights that aren’t specifically in a contract • Remove/Retire old/legacy software immediately on ending a contract or altering a contract

  12. Help, I’m being audited! • If you’re audited for software compliance, contact OCIO. We’re on your side in an audit. • Have the following items: • Any contracts, EULA’s, quotes, or other terms you may have, and a description of what kind of license you think you have (concurrent, FTE, device, etc.) • The original notification letter concerning the audit • Any information on exactly what is installed and where it is • Include version numbers! • Never, ever alter your installations after audit notification without first discussing directly with OSU Legal

  13. Help, I’m being audited! • General things to remember: • We are a public institution. Our e-mails are subject to records request. Be honest in your e-mail, but aware that correspondence can be requested. • OSU Legal, OCIO, and other internal offices are on your side. We want to know all the facts to help you out. • OCIO Security is now in charge of audits within OCIO, so don’t be alarmed when we bring them into the meetings.

Common Types of License • Concurrent: • This license means that you need to track how many people are using it at any given point. • Named User: • You are required to license all users, regardless of how many devices they may use. • Device: • You are required to license all devices, regardless of how many users there may be. • User + Device (aka “Named User Plus”): • You are required to license both users and their devices • Full Time Equivalent: • Uses a formula to determine how many licenses are required, based on number of “whole” individuals who may access the software. OCIO prefers Microsoft FTE numbers.
