This article provides updates on the roll-out and usage of Qualtrics at OSU, including information on migrating accounts, upgrading user types and divisions, collaboration features, and available modules.

Qualtrics Roll-Out • On Feb. 2, Qualtrics began moving OSU to a single data center and one centralized management system • This created a few issues • Move to production rather than test • Issues with SSO and API access • Issues with permissions • Issues with login changes • Mis-migrated accounts • Most issues are cleared up by now.
Qualtrics Roll-Out - Changes • Departmental accounts became “Divisions” of the broader license • Brand Administrators became Divisional Administrators • Individuals logging in through our portal now go to the general OSU instance rather than a specific departmental instance • Units have access to a broader set of modules than they had in the past • Collaboration within OSU is eased with no need for collaboration codes
Qualtrics Roll-Out • Qualtrics is up and running, and available • Official rollout has not begun while we ensure kinks are resolved • Instructions are prepared for distribution via OSU SLS once we resolve some administration issues • Units who want to test and work in Qualtrics can log in via SSO at osu.qualtrics.com
Qualtrics Usage • Upon logging in at osu.qualtrics.com: • Customers are placed into a “Student Trial” license (regardless of affiliation) • This permits the building and activation of up to 2 surveys of up to 20 questions, but does not have distribution turned on • We are working with administrators from departments to provide methods of affiliation • “Upgrade Codes” are being created to update both user types and divisions

Qualtrics Upgrade Codes • Upgrade codes are created by OSU Purchasing (SLS) • They set both a User Type and a Division • The upgrade code can be provided to any OSU-affiliated person to move their account between divisions • We can provide these codes on request (they are not limited, and we create them in-house)

Qualtrics Collaboration • Select “Collaborate” on your survey • Search for the name of the person you want to collaborate with • If they do not yet have a Qualtrics account, or have not yet migrated their account, they should do that first • If they are not OSU affiliated, you can enter an email address • Select the permissions you want them to have • When they next login, they will have access to the survey.
Qualtrics: Specific Questions • What kinds of data can I use with Qualtrics? • Qualtrics is approved for S3 private data. You can find the information on the Information Security Advisory Board Cloud Assessment Approvals document. The approval for this data was received in April 2014. For more information, review the Institutional Data Policy • I want to use SMS Surveys, Salesforce Integration, or Offline Surveys. How do I do that? • These three features need to be turned on for you. Please note that SMS surveys require an additional fee because you must purchase the text messages from Qualtrics, who will send/receive them on your behalf ($.05/message).
Qualtrics: Modules • OSU Purchasing negotiated all additional modules for Qualtrics, enterprise wide, with $30k in savings. These include: • Salesforce integration • File Upload • Offline Surveys • SMS Surveys • API Integration • Additionally, you’ll receive a 5% discount on all professional services from Qualtrics
Qualtrics • Questions and Answers: • I have important ongoing surveys in Survey Monkey/Gizmo/etc. What about them? • We’ll review them on a case-by-case basis, but the intent is not to create a hardship. If we can’t migrate you smoothly, you will get to keep your license another year.
Identity Finder CIC Contract • The Committee on Institutional Cooperation (CIC) has entered into a contract with Identity Finder for DLP. • Contract guarantees pricing for perpetual licenses and maintenance going forward • These slides are informational only: they do not represent a departure from the Symantec DLP product provided by Enterprise Security • If you wish to use Identity Finder, please work with Enterprise Security directly.

Minitab and ESRI server maintenance • OCIO is moving the Minitab and ESRI servers to the SOCC on March 19 at noon. • Expected window between 12 PM and 1 PM • Expected downtime is minimal • Open sessions should not be affected, only sessions that start or re-start during that period, but please communicate to your departments about this window, just in case. • OCIO Communications will also send out an update as well.
Adobe CC Home Use • This is still in the works • Jim Brungo is no longer our sales rep • A new sales rep is being hired to cover our territory • We are working with the inside sales rep to get this piece resolved.
MS Office 365 • OSU Purchasing and OCIO are working together on this • Timeline: • Student O356 is now scheduled for July 2015 • Faculty/Staff O365 will be a separate project begun after that. • There are technical and tenant issues that need to be resolved before Fac/Staff O365 can be rolled out.
IBM Audit • The audit is coming along: we are meeting to formally scope next week • If you know of IBM software in your environment, please let me know. • It needs to be reviewed and determined if we are including it. • SPSS is officially out-of-scope for this audit.
