  1. Site License Advisory Team May 29, 2015 meeting

  2. Agenda • Microsoft Renewal • Current Agreement • FY16 Agreement • Cost Savings • New Features • MDOP • Office 365 E3 • Windows Upgrades • Looking at Azure • Upcoming Renewals • SLS costs: Totals and FTE’s

  3. Microsoft Renewal • Brief review: • When we signed the 5-year MS agreement in 2013, we felt it was a good deal in years 1, 2, and 3, but were concerned about years 4 and 5 due to price escalators built into the contract • Microsoft has made a variety of changes that have altered the value proposition over the last two years (O365 for Students, O365 for Fac/Staff, moving things around) • The IUC went back to the table with MS to review and improve the deal as a result

  4. Microsoft Renewal • Microsoft has offered the IUC a price-freeze on years 3-5 on our license • Total savings for OSU: $1.5m over 3 years • Total IUC savings: about $3 million • Deal also includes Office 365 E3 and MDOP at no charge • String attached: • Azure purchase: $200k total commit each year, from the entire IUC

  6. Microsoft RenewalMDOP • Microsoft Desktop Optimization Suite licensed for all Fac/Staff • Virtualization Products • Microsoft Application Virtualization (App-V) • Microsoft User Experience Virtualization (UE-V) • Microsoft Enterprise Desktop Virtualization (MED-V) • Management Products • Microsoft Advanced Group Policy Management (AGPM) • Microsoft BitLocker Administration and Monitoring (MBAM) • Restore products • Microsoft Diagnostics and Recovery Toolkit (DaRT) • More info: https://www.microsoft.com/en-us/windows/enterprise/products-and-technologies/mdop/

  7. Microsoft RenewalOffice 365 E3 • Provides the following important items: • Self-Service Business Intelligence • Enterprise Management of Apps • Through Group Policy, Telemetry, etc. • Compliance and Information Protection • Legal hold, Rights Management, Data Loss Prevention for email and files • eDiscovery Center • Compliance tools that search across the entire universe of items: SharePoint, Skype, and Exchange mailboxes • Full integration with retention and archiving

  8. Lync Plus CALs • Originally called “Voice CALs” • These allow for Private Branch Exchange (PBX) integration and can possibly replace PBX • Essentially required for any integration into the physical phone system OSU has in place, or to connect externally to analog devices • Includes E-911; answer, forward, xfer divert, release, and park features; and support for various devices both IP- and USB-based • This is an OCIO initiative and may or may not be included at our discretion

  9. Microsoft RenewalWindows 10 • In-place upgrades are on the way for Windows Enterprise Editions • Currently, you need to essentially reimage a machine to go from Windows 8 Enterprise to Windows 8.1 Enterprise • At Ignite, Microsoft showed an upgrade from Windows 8.1 to Windows 10 without completely re-installing • Caveat: this process required Azure services

  10. Microsoft RenewalAzure Purchases • The IUC has about $185k in Azure purchases lined up • OSU may supply $60-80k of the total $200k commitment • This is to secure pricing and discounts. Azure will still require a security assessment for use • If you have any interest in Azure, or a StoreSimple device, please contact me at dangler.8@osu.edu • I have a calculator for products that is under NDA that I can use to help you understand your needs

  11. Microsoft RenewalPossible Risks • Agreement was returned with markup by OSU Legal this morning • Also, pending review by Mike Mitchell in OSU Legal • Schools might back down from Azure commits • PO’s must be cut by June 15 by all schools • We will know more by early next week about the status of the agreement

  12. Renewals: SPSS • SPSS: • In discussion on renewal for June 30 • Pricing increase now expected • Originally, this was a 15% increase • It’s currently an 8% increase • We continue to negotiate • Licenses will expire on July 30, hard fail on August 30

  13. Renewals: MATLAB • Purchasing is intending to renew this as-is at this time • Quote for renewal should arrive in the coming month for our August 1 renewal • There is discussion among the IUC to look at a larger deal

  14. Renewals: NVivo • 150 seats to be renewed in June • Initial quote was an 8% increase • Negotiated to a 0% increase • No expected pricing changes • Codes expected in June

  15. Renewals: Other • xWin32 • Renewal in place • PowerTerm • Renewed, no change • Parallels • Pricing expected to change on this product on or around July 1 • Minitab • Renews August 30, expected on time.
